Assistant Director of Facilities

Dedham Public Schools/Town of Dedham Facilities & Maintenance Department

 

This position will assist the Director of Facilities with the coordination and management of daily operations and capital projects for Town and School buildings, including renovation projects as well as major new building projects. The main focus of this position will be to assist with the development of capital budgets, project scope of work, plans and specifications, bid procedures, project awards, contract management as well as construction monitoring.  Since this position will also assume the full responsibility for the facilities group of 50+ full and part time employees in the absence of the Director, the position requires knowledge and skills to manage all facilities functions including custodial and maintenance daily operating responsibilities as well. Preferred hours for this position will be 11am to 7pm.

 

Position Duties & Responsibilities:

  1. Monitor daily facilities issues in Town and School buildings and grounds and assigns to the appropriate custodial and trades staff based on the severity of the issue.
  2. Collaborates with town and school staff on chronic maintenance issues to be prioritized for capital budget requests.
  3. Assists the Director in developing and monitoring the annual operating and capital budgets along with a twenty (20) year capital plan through the review of the Facilities Condition Assessment report.
  4. Assists the Director in the procurement of capital projects including project scope of work, plans and specifications, bid procedures, project awards and construction monitoring. 
  5. Maintains inventories and develops a replacement program for vehicles, floor cleaning equipment, grounds equipment, and trades staff major tools and equipment. 
  6. Responsible for responding to emergency calls 24/7 for snow removal and life safety issues under the care of the Facilities and Maintenance Department.
  7. Complete DCAMM reviews of contractor performance for capital projects completed.
  8. Involved with resolving contractor performance and contract compliance issues as well as discipline issues with Facilities staff, union and others.
  9. Coordinates staff and material moves amongst buildings with facilities staff and vehicles in support of renovations and capital improvement projects.
  10. Utilize School Dude to track all capital projects in the Town and School buildings as well as develop Preventive Maintenance schedules to properly maintain building equipment.
  11. Supports Director of Facilities and Maintenance with various daily work tasks as needed.
  12. Other duties as assigned.


Requirements:

  1. A minimum of an Associates Degree with a preference for a Bachelor's Degree in Engineering, Facilities Management, Architecture or related field. A minimum of seven years of facilities supervisory experience can substitute for the degree requirement.
  2. Seven (7) to ten (10) years supervisory experience in the field of Facilities Management or Construction Project Management including experience overseeing capital projects.
  3. Computer proficiency with experience using Microsoft Word, Excel, School Dude work order system or similar and Siemens Apogee EMS controls or similar.
  4. MA Construction Supervisor License with knowledge of building codes and/or licensed trade preferred along with the proven ability to administer multiple project and meet deadlines.
  5. Requires strong interpersonal and analytical skills, including the demonstrable ability to make sound decisions in emergency situations based on available information.
  6. Must maintain a valid driver's license and pass National Criminal Record Investigation (CHRI) check.
  7. Understanding of Inspector General procurement guidelines set forth in MGL Ch. 30B and Ch. 149 and MCPPO Certification or ability to obtain certification within one year of hiring.
